Claim Reports

TimeSavr generates claim reports, which are designed to help you submit your monthly subsidy, grant and wage top-up claims.  These reports are found in Reports > Subsidy.  There are reports specifically for children, staff and dayhome educators, and give you all the data you need to submit your claim.  

Breakdown

The children claim reports list all the children in care during the selected claim month, grouped into two lists, subsidized and non-subsidized.  Below the non-subsidized list you will also find a breakdown chart for the purposes of claiming the Alberta affordability grant.

This breakdown, by default, will load only for non-subsidized children, but if you want to also see a breakdown for the subsidized children, you can enable the option in the Report Options on the left.  A subsidized child is a child who has a subsidy record active at any point during the claim month, and that subsidy record is defined to "show on claim".



Children Missing

The colored numbers are clickable, and will open a separate report in a new window that lists the children included in the count.  This is to help you track down children who you believe to be missing from this count.   School aged children must be marked as attending either kindergarten or grades 1 to 6 or they will not be included on this report.  If you believe you have some school aged children missing from the report you need to mark them as attending school on each child's Profile page.



An easy way to find which children are not marked as attending school is to open Reports > Children > Child Checklist.  Sort this report on birthdate and you will see checkmarks in the columns for Kindergarten and Grade 1 to 6.  If you see an older child with no check mark, then you know that child is not marked properly.  

If preschool children are missing, it's likely because they do not have a schedule.  The report will give you a link that you can click to see which children do not have a schedule.  To add a schedule go to the child's schedule page and select both a time block and room.  Or, to have TimeSavr automatically insert a schedule, select or change the child's primary room.  Whenever you select or change the child's primary room, TimeSavr will update the schedule, or insert a default schedule if none exists.

Current Fee

The claim reports also include each child's "Current Fee" but it's important to note that this fee is based on the historical record fee childcare fees, and so it will list the child's fee as it was on the first day of the claim month.  If the fee on the claim report does not match the expected fee, or is blank, check the child's fee history and modify as necessary.

Alternate Reports

If you have enabled the Licenced Group Family Child Care program type in Admin > Program > Program Types, then you will see several subsidy claim reports labeled as "Alternate".  This report is for an alternate daycare or osc program, which is a separately licensed program managed within the same TimeSavr account.  For example, if you have two separately licensed daycare programs, name Little Nerds and Little Birds, this option allows you to manage both within the same TimeSavr account.  Your first daycare program, Little Nerds, will utilize the Licenced Daycare Program and your second daycare program, Little Birds, will utilize the Licenced Group Family Child Care program (these programs are enabled/disabled in Admin > Program > Program Types).  The Little Nerds claim report is the one labeled Claim - Children, and your Little Birds claim report is the one labeled Claim - Children (Alternate).

The same applies to the Alternate staff claim report.
