Daily Reports Desktop Controls

The Daily Reports feature allows you to email daily reports to the parents regarding their child's day, including nap time, meals, medicine, diaper checks etc.  You'll also be able to send photos and videos through the app.  These features are only available as part of the Connect package.

Daily reports can only be created in the TimeSavr mobile app, but you also have a few options in the desktop app.

Desktop Controls

In the desktop app you'll notice a menu option, called "Daily Reports".  Here you're able to enable/disable several options and manage your report items which are used throughout the Daily Report app. You can also control which users have access to the daily report and which don't.  Make sure you enable you Active Pages if you want to use the Daily Reports.




Options

The first option listed on this page, is the option to "Automatically send daily report when the child is signed out".  With this option enabled, there's no need for educators to remember to manually send the report at the end of the day, as it will be automatically sent.  However, even with this option enabled, the educators do have the option of sending the report manually before the child is signed out.  If no new report data is entered after the report is sent manually, then when the child is signed out later in the day, no report will be sent.

Note that if a child is signed out multiple times per day, the parents may receive multiple reports.  Though the same report data will never be sent twice, the parents would receive one report with the data entered during the morning, and a second report with the data entered for the afternoon.  For this reason, you may want to disable this option if you have before and after school care, as children are often signed in and out multiple times per day.  With the option turned off, all report data collected throughout the day is saved until the educator is ready to send the report manually.

SMS Messaging

With the SMS Messaging option enabled, you will be able to send SMS text messages to the parents from within the TimeSavr mobile app.  When you first enable this option, you will be prompted to select a phone number which you will use to send messages.  This number can not be used on your cell phones, but only within the TimeSavr mobile app.  When you send messages to the parents from within the TimeSavr mobile app, the parents will receive the messages as a regular SMS text message, and they can respond to the message as they would any other text message.  No app is required for the parents.  When you first select your number, it's a good idea to let your parents know what it is, so that when they receive a message they'll already know who it's from.

Active Reports

In the Active Reports list you can select which reports you want the Educators to be able to create.  For example, you may not want to create Milestones reports, or if you don't have infants you may want to disable the Diaper report.  For each report enable here, TimeSavr will generate a tab on the mobile app where the educators can create reports.



Items

The Items tab lists all the items available to be used within the mobile app to create daily reports.  These are items that are selected from a list, like for example needs, food items, medicine items, etc.  New items can be created here, within the desktop app, but also within the mobile app.  Any items created on the desktop app will be available to be used by all users, but items created within the mobile app will be available only to the user who created the item.  In this way, dayhome educators using the mobile app can create their own items and they will not see items created by other dayhome educators.

On the desktop app, items can be deleted or spelling mistakes fixed.

Meals

The Meals items work a little bit differently in that these are not items you select from a list, but meals which you can choose from when recording a child's meal.  You also can not create other meal items (though you can create food items).  You can only enable or disable the meal items according to your needs, and set the default meal time for each type of meal.  Disable the meals you don't offer, and set the default meal time for those you do.  When the educator enters a meal on the mobile app as part of the daily report, they will be given the option to choose one of the available meals enabled here.  If only one meal is enabled, that meal will be entered automatically.

Users

The Users list allows you to disable access to the Daily Reports items by username.  Any unselected users listed here will not be able to create Daily Reports.

Reports

New Daily Reports can only be created in the TimeSavr mobile app, but they can be viewed and deleted on the Reports tab on the Daily Reports page in the desktop app.  A maximum of 100 reports are listed here, but the list can be refined and filtered in various ways.  For example, if you select a report type button above the list, only reports which include that report type will be listed.  You can further filter the list by typing in the name of a child or family, or the recipient's email address.  Reports which have not been sent yet are listed at the top and are listed without a sent date.  Those which have been sent already will show a sent date.  Click on any of the reports listed to read the report.  If the report has not been sent yet, you will have the ability to delete sections within the report before the report is sent.  You can also send the report from here.

Stats

The Stats page gives you some interesting insights into your Daily Reports, including which reports are the most used and how much time is spent creating each report.
