To set a child's childcare fee, open the Fees page under the Child's family tab.
There are three options for setting child fees.
Age group fee
Room fee
Custom fee
When using the age group fee, or room fee, you only need to select whether the child is full time or attending less than full time days of the week. The fee is then pulled in automatically based either on the child's age, or the child's room assignment. Those fees must first be defined on your Fee Schedule. This is the easiest and recommended way of setting a child's fee.
Age Group Fees
Age group fees are defined in your fee schedule in Finance / Childcare Fees. After you set your fees here, then you can use the fee on the child's fee page.
Use the age group fee if you charge a fee based on the age of the child, regardless of the child's room or any other factors.
For children using an age group fee, their fees are automatically updated when they move into a new age group.
You will be notified by automated email when children move into a new age group (only applies to children paying the age group fee).
Using age group fees makes it easier to align with any grants received based on age group.
Creating future dated invoices will calculate the child's fee based on the age group the child will be in on the invoice date.
Age group fees are set based on the age groups defined in Admin / Program / Age Groups. (Note: These are the same age groups that are used to calculate child:staff ratios on the ratios page, so you should not change these age groups unless they don't match your age groups defined by the child care licensing authority)
Room Fees
Room fees are defined in your fee schedule in Finance / Childcare Fees. After you set your fees here, then you can use the fee on the child's fee page.
Use a room fee when you charge a fee based on the room the child is assigned to, regardless of the child's age or any other factors.
You can specify part time fees for room fees as well, including daily and hourly rates.
Select the number of days the child will be attending on the child's Fees & Grants page and the correct fee will be automatically populated.
Custom Fee
Use a custom fee when neither an age group fee, nor a room fee makes sense.
The custom fee is the most flexible as you can set it to anything you want, but also the least automated as it will only change when you change it manually.
When entering a custom fee, you must also enter a default charge item. If none of the available charge items make sense, you can create new charge items in Admin / Finance / Charge Items.
When you select a fee on the child's fee page, you must click Apply Fee for the fee to take effect.
