Attendance List

Depending on your system configuration, the way you access the child attendance page on the mobile app may differ.  Using the standard config, you'll find your attendance lists grouped by room, within each program.  So for example, within your daycare program, you may have multiple rooms, with each room having its own attendance list.  So select your program, then your room.



If your system administrator has restricted your user to a single room, then you will have access to your room's attendance list directly from the main menu.



Recording Attendance

To sign a child in, click the IN button for that child.  At the end of the day, click OUT, when the child leaves.  The idea is that you record child attendance as you go throughout your day, signing children in as they arrive, and out as they leave.  If a child leaves and comes back in the same day, simply click IN again and a new record will be created.  All the hours will be automatically totaled each day and month.

On a large screen, click the trash can icon to delete the attendance record.  Don't worry, this will not delete the child, only the attendance record.  On a smaller screen, when the trash can icon is not visible, tap the child's name and click "Edit".  You can delete the attendance record on the edit page.

Click the ABS button to mark a child absent.  Beware, clicking this button will delete any existing attendance records that exist for this child for this day, so it can not be used to mark an absence for only part of the day.  It creates an absence for the entire day.

Options


Ratios
The ratios page will show you the real time ratios for the current program.  So if you're in a daycare room, and you select the Ratios options from the room menu, you will be taken to the daycare ratios page.  For more information on the ratios page, please click here.

Group Settings
The group settings page is for changing the room name, description, color, capacity and nap times.  Also on this page you can change the default allowable time range for time records, and whether or not the ALL buttons are displayed on the attendance page.

Attendance Options
The attendance options page allows you to enable/disable the absent button, child/family notes and the pickup person prompt.  There's also an option to email the parents each time a child is signed in or out.  This is a predefined email and can not be customized.



Filter Options
The filter options page allows you to filter the attendance list.  It can be filtered based on each child's schedule, or on tags assigned to children.  This can be useful if you have a long list and want to shorten the list for the educator.

Pickup Person

Timesavr can record the name of the person picking up the child at the end of each day.  This option can be enabled on the Attendance tab of your Settings page, on the desktop app, or in Group Settings (may be called Room Settings), accessible from the options menu on the attendance page on the mobile app.  If this option is enabled, it will be used on both the desktop and mobile apps.




The name of the pickup person is saved and can be seen by hovering over the clock icon on the attendance record, or on the child attendance details report (Reports / Children / Attendance Details) when the option to Show pickup person is enabled.

Moving a Child to a Different Room

If you currently have a child signed into a room, but need to move the child to a different room, this is easily done on the mobile app by using the "Move" option.  Note: this option is only available if the child is currently signed in.  

If you have the daily reports feature, and the option to automatically send a report when a child is signed out, enabled, then using the move option on the mobile app will NOT trigger a daily report to be sent.



Edit or Delete an Attendance Record

On a larger screen, you can edit the in and out times inline, by selecting the time and typing in a new value or by selecting from the time dropdown.  Your changes are saved automatically, and a temporary green outline on the input indicates a successful save.  You will also see a trash can icon rendered on the attendance list, which you can use to delete the attendance record. 


On a smaller screen however, these options are not visible due to space constraints, so you have to tap on the child's name which reveals an Edit option.  The edit page also includes a trash can icon which you can use to delete the attendance record.
