You can schedule a future childcare fee change by creating an enrolment plan. You can not schedule changes to charge items, payroll items or other fees. Only childcare fees, and dayhome educator fees. Scheduling a fee change means that, from the effective date forward, any invoices created will use the new fee. Even reports listing future expected revenue, or invoices created ahead of time, for a date after which the fee change takes effect, will automatically pick up the new fee.
For example, if Benjamin's current fee is $800 per month, but is scheduled to go up to $850 on the 1st of next month, you can create an invoice for the 1st of next month and that invoice will automatically use the $850 fee instead of the current $800 fee.
A scheduled fee change will not impact existing transactions on the transaction register. It only applies to new invoices created with an invoice date >= the scheduled fee effective date.
Childcare Fee Type Change
In addition to changing the actual childcare fee, you may also schedule a change of fee type. Whether or not the fee type change results in a fee change, this scheduled change will be listed on the child's fees page. For example, if the child is currently set to pay a custom fee of $850, and you're changing that to a room fee, which also happens to be $850, then this is still considered a scheduled fee change and will be listed, showing the new room name and the resulting fee.
If the child's fee is currently set to Age Group Fee, then the fee is already scheduled to automatically adjust when the child ages into a new age group, and this does not change. Therefore, if you're changing the fee type from either the room fee, or a custom fee, into an age group fee, note that the effective date of your scheduled change takes into account what the child's age group will be on that date.
So for example, if you're switching from a custom fee which is currently set at $850, to the age group fee, which is currently set at $875, then the $875 may not be the fee assigned to the child on the effective date of your schedule. If, by that time, the child has moved into a new age group, then this will be taken into account and the fee for that age group, is the fee that will be listed on the scheduled fee change.
Dayhome Educator Fees
Dayhome educator fees can also be scheduled to change, but note that such a scheduled change is only listed if the child is currently already in a dayhome. In other words, if you're scheduling a switch from a daycare room, to a dayhome, which will include the setting of educator fees, then this schedule will be listed on the child's Room page, but will not be visible on the child's Fees page, because no dayhome fees are listed there, until or unless the child is assigned to the dayhome program.
When creating an enrolment plan for educator fees, the fee changes you can schedule are those pertaining to an individual child, and not the default dayhome fees for a given dayhome. You can select whether or not the child pay the default educator fee, or a custom educator fee. The custom fee, daily rate and late pickup fees can all be scheduled.
