Email Parents

Overview

The Email Parents page allows you to quickly and efficiently communicate with parents and guardians. You can filter the list of families by various criteria—such as room assignment, enrollment status, or custom tags—to create a targeted list of recipients. With the built-in WYSIWYG editor, crafting clear and engaging emails is simple and intuitive. Once the message is ready, you can send it out to all selected families with a single click—making it easy to share announcements, reminders, or newsletters. This tool streamlines family engagement and ensures your communication stays timely and professional.

Email Editor

The WYSIWYG (What You See Is What You Get) editor provides you with an intuitive interface for creating and editing rich text content. It supports basic formatting options such as bold, italic, and underline, as well as advanced features like inserting images, tables, hyperlinks, and more.  Additionally, the editor includes a full-screen mode, enabling a distraction-free writing experience ideal for working on more detailed or complex documents.  To enable full screen mode, click the fullscreen   icon.

The editor will auto expand as you type, or when you put focus on it if the existing text is larger than the default display size.  To collapse the input back down to its default size, you can click the collapse icon, just above the input on the right.  


Test Email

Before sending your email to parents, you can send a copy to yourself for testing purposes.  After you compose your email, and enter an email subject, open the Test Email panel and click "Send Test Email".  By default the email address used will be your company email address, as defined in your centre profile, but you can override this value.  You can enter in multiple email addresses, separated by a semi-colon, no spaces.


List Options

Click the List Options button to modify your list criteria and build a more targeted list of families for your email.  



Enrolment Status

You can filter children by their enrolment status, with the following available options: Active, Waiting, Unconfirmed, and Terminated.
  • Active – This includes currently enrolled children. You can further refine the list by choosing whether to:
    • Include or exclude pending children (those with a future start date).
    • Include or exclude terminating children (those with a future end date).
  • Waiting – This includes children on the waiting list. You can narrow the list by:
    • Entering a "Preferred Start Less Than" date. Only children whose preferred start date is before the specified date will be included—helpful for contacting families seeking placement soon.
    • Selecting specific waiting list priorities, if these have been configured.
  • Terminated – This includes children who are no longer enrolled. You can choose to:
    • Limit the list to only returning children—those who already have an end date but also have an enrolment plan with a future start date.
    • If this option is left unchecked, all terminated children will be included in the list.

Use these filters to target the exact group of families or children relevant to your communication or reporting needs.


Age Range

If you enable the "Filter by Age Range" option, you can specify a range using years and months. Note that the "To" age must be less than the "From" age for the filter to apply correctly.

For any age entered under 2 years, Timesavr will automatically convert it into months. For example, entering 1 Year and 6 Months will be converted to 18 months.

This feature helps you target children within a specific developmental range when filtering your email list.


Enrolment Frequency

The enrolment frequency refers to whether or not a child is full time, part time or drop in.

Rooms (groups)

If you have a non-dayhome program enabled—such as daycare or preschool—you’ll see a list of available rooms that can be used to further filter your list. Depending on your configured group type, this label may appear as Rooms, Groups, Cohorts, or Classes.

You can choose how to include children based on their room assignments:

  • Only Primary Children – Includes only children whose primary room assignment matches your selected room(s).
  • All Assigned Children – Includes both primary and alternate room assignments.

For example, if Emily’s primary room is Pandas, and Liam’s primary room is Koalas but he’s also assigned to Pandas as an alternate room, selecting Pandas with the “All Assigned Children” option will include both Emily and Liam in the results.

This filter helps you target groups based on flexible room participation, whether for reports, communications, or classroom planning.


Consultants

If the dayhome program is enabled, you’ll see an additional filter for consultants. Selecting a consultant will display only the families with children enrolled in dayhomes assigned to that consultant.

If you have both a dayhome program and a non-dayhome program enabled, you’ll be prompted to choose which program to use when filtering your list. The available options are:

  • Dayhome Program – Enables filtering by consultants.
  • Other Programs – Enables filtering by rooms, groups, cohorts, or classes.

You can filter by either consultants or rooms—not both at the same time. 


Tags

If you’ve defined tags, you can filter your list using this criterion. Note that only one tag can be selected at a time. To avoid filtering by tag, simply select the blank option from the dropdown menu.

Tags can be created directly on each child’s profile page, or centrally managed under Admin > System > Tags. They’re a helpful way to categorize children by custom attributes relevant to your program—such as special needs, allergies, or enrollment preferences.

Copy Email Addresses

In addition to emailing parents directly from Timesavr, you have the option to use their email addresses in external platforms such as Gmail or Outlook. To do this, simply click the “Copy email addresses” link. This will open a new page displaying all relevant email addresses, separated by semicolons for easy use.

Click anywhere within the email address field to automatically copy the full list to your clipboard. You can then paste the addresses into the BCC field of your email to protect recipient privacy—especially useful when sending bulk communications outside of Timesavr.


Email Log

To view a history of emails you’ve sent, click the Email Logs link. You can also access this feature by navigating to Admin > System > Email Logs.

Within the log, you can filter results by email type, date range, or recipient email to quickly find specific messages. Selecting any entry from the list will display a copy of the email that was sent, allowing you to review content and confirm delivery details.
