Age Groups

Timesavr Age Groups are found in Admin / Program / Age Groups.

The age groups in Timesavr should always match the age groups as defined by your local child care licensing body, regardless of which age groups you typically care for in your centre.  By default, the age groups in Timesavr match the age groups as defined by the Alberta child care licensing regulations.  If your centre does not care for children in some of these age groups, do not delete the age groups, but leave them as is.  This is because you may at some point care for a child, even temporarily, who does not quite fit into the age groups that you typically care for and so if the age group for this child does not exist, you will start seeing errors on your real time ratios page.  There is no benefit to removing unused age groups, but you may need them at some point so it's best to just leave them as they are.

Daycare Age Groups

Each daycare age groups must have a name, a starting age and ending age.  Ages are defined in years and months, but you must be careful, if making any changes that none of these age groups overlap.  For example, if one age group ends at 19 months, then the next must start at 20 months.  If the next started at 19 months, then it would overlap with the previous age groups and this would cause errors on your real time ratios page.  Also, you must make sure there are no gaps in your age groups, so if one age group ends at 19 months, then you must not start the next age group at 21 months, as this would leave a gap and will cause errors on your real time ratios page.  For this reason also, it's a good idea to have your oldest age group go well beyond the age that you would normally expect the oldest child in your centre to be.  For example, if you normally care for children up to six years of age, it doesn't hurt to make your oldest age group go up to 8 years of age, just in case you have a child older than you would expect.  This way you can be sure that all the kids, regardless of age, are covered.



OSC Age Groups

OSC age groups can not be modified, except their label.  You can not insert new age groups, delete age groups, or change the ages for the age groups.  This is because children in OSC (out of school care) programs must fall into either the "Kindergarten" or "Grades 1 to 6" category.  



In some jurisdictions, kinders can be in either your OSC program or your daycare program.  For this reason, age groups for kinders exist in both programs, but the ratio used will be based on the program to which the child belongs, and this is determined by the primary room (group) the child is assigned to.  So if the child is in a daycare room, the daycare kinders ratio will apply.  If the child is in an OSC room, the OSC kinders ratio will apply.

As opposed to daycare age groups, where each child falls into an age group based on age, children in OSC are considered to fall into an age group based on the school settings on their profile page, so make sure that this value is properly set for each child.   


Note:  It's important that each child in OSC is marked as either "Attending kindergarten" or "Attending grade 1 to 6", because if they are marked as "Not in school" then they will not be counted on the grant statistics portion of the subsidy claim report, and you will not receive a grant for this child.

Dayhome Age Groups

All dayhome age groups start at 0 years, 0 months, which means they all overlap, but this is by design because these age groups are used to calculate the maximum number of enrolled children allowed in each age group.  There should be no need to update these values, unless child care regulations are changed in the future.
